Privacy and processing notice
Know where your files go.
The web service and offline application have different processing boundaries. Choose the edition that fits the files you are permitted to use.
In the web service
Each calculation, validation, save, reopen or export action sends the project to the Tectelis service. That project can include original CSV cells, earlier retained sources, mappings, corrections, questions, entered rates and review history. The server processes the request and returns its result.
Project contents are processed for each request, not saved in the application’s database, object storage, application logs or emails. Cloudflare provides the hosting infrastructure. Infrastructure and provider operational records are separate; their retention periods have not been confirmed.
Only upload files you are permitted to send for this processing. The web limit is 256 KiB per original CSV and 1 MiB for the serialized project, including history. Each schedule supports up to 1,000 data rows. The offline edition has larger file limits.
Optional column suggestions
When configured, optional column assistance sends only the sample you approve to the provider and model named in the preview: OpenAI or TypeSafe/Jev. There is no automatic fallback to another provider. You see up to 24 headings and the first two rows, with each cell limited to 80 Unicode characters; omissions and shortening are disclosed. The filename, full workspace, rate worksheet and review history are not part of this assistance request.
The displayed text may itself contain names, prices or other sensitive information. Share it only when permitted. The selected provider processes it under the operator’s configured account and applicable terms. No zero-retention promise is made for providers. General accuracy, customer value and billed cost remain unverified. A labelled local test mock makes no external AI request.
Suggestions are optional and can be wrong. You choose which unresolved columns to place in the form, then separately confirm the normal mapping. Units and quantity meanings remain manual. AI replies and credentials are not saved in the project; confirmed column choices are saved as ordinary mappings. If assistance is unavailable, use manual mapping. The offline Windows application has no AI request or API-key entry.
Account and access information
Access records include the firm name, normalized email address, invitation and verification status, activation and expiry times, sessions and the saved language preference. Request-limit counters and any founder access or authorized-attempt records are also stored. Network address information is used to limit sign-in requests. A necessary session cookie keeps the browser signed in. The application has no advertising or analytics integration. This browser also remembers your interface-language choice separately from project files.
Access is tied to a verified normalized email address. Where an access deadline applies, email recovery keeps that deadline. A verification link must be explicitly confirmed on its landing page.
What is retained and when cleanup runs
After a successful verification-email send, the application attempts to remove verification-link and session records that expired more than 24 hours earlier, and request-limit records last updated more than 24 hours earlier. This depends on that send event; it is not a scheduled deletion service or a guaranteed deletion deadline.
Invitation and access records, saved language preferences and founder authorization history have no automatic deletion schedule in the application. No fixed retention period has been set for these records. You can contact the operator about your data or request deletion; this notice does not promise automatic deletion.
When enabled, verification email is sent through Resend using your email address, firm name, verification link and expiry information, without your estimator project. Messages you send to support are handled in the support mailbox. Retention of support email and email-provider operational records has not yet been confirmed; avoid sending project files unless needed and permitted.
Keep a copy you control
The open browser tab retains its last accepted project for recovery. Download the project JSON regularly. This tab memory is not durable storage: refreshing, closing or losing the browser can discard it. After access ends, the already-open tab can download that last accepted copy without a new server calculation. Text still in an unapplied form is not part of the accepted copy.
Your downloaded files remain wherever your browser or operating system saves them. Review any shared-folder or backup settings that apply to that location.
In the offline Windows application
The offline edition processes the same supported schedule job on the computer where it runs. Its normal estimator workflow does not send project data to the web service. You choose local files to open and where to save the project and exported handoff. Normal network access from the packaged workspace is blocked.
Using review access
Use only files you are permitted to share through the described processing. No customer files are needed to explore the clearly marked sample. Contact the operator if the stated processing or unresolved retention details do not meet your requirements.
Reusable layouts, focused review and explicit scope questions
Optional scope assistance is a narrow suggestion, not an approval. Explicitly pair an applicable requirement and reference with a selected rate’s exact coverage, exclusions and context. Preview the provider text before consenting. A manual question remains available. Unknown exclusions never trigger an AI request.
The complete workspace goes to Tectelis for validation. Only the displayed requirement, reference, applicability explanation, coverage source and reference, exclusions, context, section, grade and length-basis wording go onward to the named AI provider after consent. Structured quantities, rate amounts, original rows, filenames and review history are excluded from that onward request. Quoted text may itself contain names, prices or sensitive information; no automatic redaction is claimed.
If you explicitly keep a scope check, its exact paired evidence, typed suggestion and mock/live provenance are saved in your downloaded workspace, separately from your editable question. Imported provider records remain unverified saved records. Project edits make captured checks historical; replacing a pair retains the earlier capture. Acknowledgment does not approve coverage.
Included interface language packs are supplied locally. Automatic translations are labelled; no customer text is sent to a translation service. Your chosen account language is saved for your verified identity. Reports have an explicit language choice; source cells and firm wording are never translated. The capability guide is currently in English.
Keep the complete workspace JSON, including up to 20 captured checks and their history within the 1 MiB total limit. The earlier offline Windows application does not open this web workspace format. The selected web price is USD 49 per month per account; purchasing is not yet available.
